#21-03 Minimum standard Z17: Branding and communications

This note is to advise everyone involved in Waka Kotahi NZ Transport Agency works that the new minimum standard for branding and communications (Z17) is available to use. The new minimum standard should be used for any works undertaken after the date of this notice but will not be applied retrospectively to any works currently underway.

Purpose

This note is to advise everyone involved in Waka Kotahi NZ Transport Agency works that the new minimum standard for branding and communications (Z17) is available to use. The new minimum standard should be used for any works undertaken after the date of this notice but will not be applied retrospectively to any works currently underway.

The major changes to the minimum standard are:

  • Updating outdated policies to reflect current standards and processes
  • Ensuring all branding references refer to the associated Waka Kotahi Brand Manual (also available on this website)
  • Introducing the opportunity to access Waka Kotahi’s preferred print supplier’s services.

General information

Minimum Standard Z17 outlines Waka Kotahi requirements for branding and communications for works and services delivered for Waka Kotahi. The updated Minimum Standard Z17 clarifies what branding can be used, what media management and social media protocols must be followed, and explains that our teams can benefit from the reduced corporate fees and cost savings for printing services available to Waka Kotahi by using our preferred print supplier contract.

The processes and procedures outlined in Minimum Standard Z17 must be followed by Waka Kotahi and its suppliers from now on.

Changes

Minimum Standard Z17 has been updated and brought in line with current business practice, reflecting changes to the approved Waka Kotahi brand manual, channels, media protocols and preferred suppliers of print services.

Additional sections have been added to address social media, print services, online engagement tools, video and photography, and conferences, events and awards.

All changes to Z17 were made with appropriate consultation with subject matter experts.

Communication plan

Our target audience for this manual is Waka Kotahi delivery teams and suppliers engaged by Waka Kotahi to assist with delivery of projects.

Advice of these changes will be promulgated by:

  • this note advising the Manual’s release
  • direct access via the website and intranet
  • delivery of presentations at the next Project Managers Forum and Tender Secretary and Procurement meeting
  • briefings to key suppliers.

Implementation

Minimum Standard Z17, along with the other contract document minimum standards, is currently published for use on the Waka Kotahi website in the Highways Information Portal.  It can be found as part of the SM030 Professional Services Contract Proforma Manual suite of documents. This publication will be updated with the new minimum standard. Feedback can be provided on the updates by emailing procurement@nzta.govt.nz.

Document review

A review of the effectiveness of the changes and the current Z17 will be undertaken annually, with further updates made on an as-required basis.
